Effective Business Communications: Reflective Practice Essay

Effective communication is a need of every individual. Also, it is important in different organizations to share and enable the effective flow of the k. The knowledge communication process is integrated with many theories and concepts. Ways to communicate with each other have changed with the passage of time. The medium plays an important role when containing the erbal or non-verbal communication. The significance of this reflective essay is quite visible. It contains many insights regarding effective communication, and we can adopt different communication skills to improve the communication process. The purpose of this reflective easy is to illustrate different communication skills, concepts, and theories and improve the communication process (Knopfel, Grone, & Tabeling, 2005). The structure of the essay includes three sections. Each section requires the expansion of concepts. The illustration of concepts is based on ten-week activities.

“The communication process can be improved by integrating or aligning with different communication concepts and theories, as improved communication opens new ways to discover knowledge and share the experience.”

Based on work activities, there are several communication concepts, which are to be illustrated along with some key insights. The comprehensive elaboration of one concept weekly is as under.

In week one, the prominent concept is the transmission model of communication. According to this model, there are sender and receiver in the communication process.  Interestingly, the message contains codes, ideas, and structured information, which is to be changed further by the receiver. Noise is also a prominent factor, and it indicates the failure of information processing (Normore, 2016).

In the second week, the concept of Non-verbal immediacy is in the limelight. For Instance, it has been revealed that people have to decrease the physical and psychological gaps or distances by using some effective non-verbal cues such as eye contact, body movements, gestures, and facial expression. These non-verbal cues are meant to understand the message.

Work standard in the third week is important. However, it seems interesting how the company trains its employees to improve written communication to write effective and attractive emails to the client. It depicts the work standard. It can be said the written communication improvements can standardize the work in an organization.

In week four, the emphasis is on the target audience. It is an important concept, as a writer or speaker can examine or analyze its target audience first to shape the message. The message should be written for the target audience to derive an adequate response.

Week five highlights the literature review. To write the literature review, there is a need for some journal articles, which are pertinent to the topic. Analysis of the current research and method of research can help to write the reflective essay.

Week six highlights the concept of communication apprehension. Communication apprehension is a fear or anxiety of an individual in real or anticipated communication. There are many factors which can cause communication apprehension. If a person is unfamiliar with others, communication apprehension may occur. There are many reasons regarding communication apprehension. The need to identify these causes is important to eliminate this issue and enable effective communication.

Week seven streamlines intercultural communication due to diverse cultural values. Interestingly, the context of the culture is changed in different cultures. In Japan, there is a high context culture, and people consider the context seriously to understand the message.

Week eight indicates organizational communication. In a professional career, it is the most important concept. Managers and leaders in the company use the pertinent structure to communicate with the bottom-line of the company. It seems the flow of information, which is to be carried in the company (Knopfel, Grone, & Tabeling, 2005).

Week nine gets the group development in the limelight in an organization; there is a unique way to develop a group. This group development process includes forming, storming and norming, performing and adjourning.  Group development is based on pertinent communication in all stages.  Communicating vision and goals seems mandatory.

In the week the, it has been revealed that verbal aggression is a prominent concept that creates a negative impact on employee satisfaction. Due to verbal aggression, the employee working at the workplace can be frustrated (Normore, 2016).

Organizational communication is an important concept that has emerged in many organizations. In large and small organizations, different types of the organizational communication are formal communication, informal communication, downward communication, upward communication, horizontal communication, verbal communication, and written communication (Spaho, 2010). Based on the nature of the business and culture of the company, the organization decides to adopt the pertinent type of organizational communication. It seems imperative to select the pertinent type of organizational communication to enable the effective flow of knowledge and enhance the visibility of effective reporting systems. However, according to different research studies, it has been revealed that the organizational communication needs evolvement (Lee, Lee, & Sohn, 2017). In other words, organizational communication must be changed or improved with time. Despite having pertinent technological tools to communicate with each other in the company, the management should arrange or provide private atmospheres. Mostly, the organization practices the verbal communication, and many employees look reluctant to share ideas, feelings, views, and reservation (Kang, Jia, & Ju, 2016). Thus, providing a private atmosphere for employees can improve organizational communication. Also, there is a need for proper employee training and development processes. It helps the employee to adopt different communication traits and enhance the visibility of effective communication. Integrating the organizational culture with the organizational communication is necessary to derive some results, which are quite predictable.  In this modern business, prioritizing the culture of the company is good to learn and streamline organizational communication. Channelizing the communication in the organizational in the way of the organization is the best approach that is a lead towards the improvements (Apoorva, 2014). Another communication trait in the organization is the accessibility of sticky information. Both verbal and written communication can be improved if employees have access to information. In other words, it can be said that it can make the communication meaningful and purposeful (Lee, Lee, & Sohn, 2017).

Group development and verbal aggression are two prominent concepts, which can create an impact on professional careers. These concepts are future career aspirations. For instance, verbal aggression indicates the negative behavior of the speaker. When working in an organization, the professionals have to avoid the verbal aggression (Bushe & Coetzer, 2007).  In future, I have to play the role of manager in the company, if I do not take control of verbal aggression, the team working under me can be frustrated and dissatisfied. Being a professional or future professional, it is vital to learn the effective verbal communication trait to makes the communication process meaningful and impactful (Bushe & Coetzer, 2007). To be successful in my professional career and become a leader in the company, I have to avoid verbal aggression. Insulting someone or shouting is not the solution, and I have learned it even before entering in any organization (Blidaru & Blidaru, 2015).

On the other hand, group development is a key concept which is linked with my future in the organization. In the future, I have to face all stages of the group development to become an effective group member in the company (Bushe & Coetzer, 2007). After setting the ground rules in the formation stage, the most interesting aspect is Norming. Organizations like to depict or contain collaborative work in a democratic culture. Being a student of business and management, every individual should prepare himself to emerge in the group development process and identify key strengths and weaknesses of others (Paranjpey, 2012). Ultimately, we have to work in a group in the company. In the performing stage, the dominance needs excellence in the performance. Thus, the group development process is a good concept to navigate to emerge in the group in the company after the degree completion (Hall, 2015). Group development in an organization is based on effective communication. In all stages of group development, members need to communicate with each other including the group leader.  For Instance, in the last stage of the group development, the group leader may communicate to all group members about the accomplished tasks. It is an adjourning stage which needs the effective communication (Bushe & Coetzer, 2007).

The professional career always needs preparation, improvements, and evolution with time. Business students have to derive several insights regarding the organizational activities regarding the communication process. The most important thing is to learn or adopt effective communication skills.  When working in the company, these skills are the backbone of the success (Blidaru & Blidaru, 2015).

All these concepts and theories have justified the thesis statement “The communication process can be improved by integrating or aligning with different communication concepts and theories, as improved communication open new ways to discover knowledge and share the experience.”

In the end, it is to conclude that effective communication is a need of both society and the organization. The effectiveness and evolvement trigger communication concepts and theories. All concepts which have been described in this comprehensive analysis are triggered by the significance and future aspirations.
